Pre-shipment inspection is the last good chance to catch many visible problems before goods leave China.

By this point, production is finished or nearly finished. The buyer may be preparing balance payment, warehouse delivery, loading, or shipment booking. If the goods leave the factory with wrong labels, weak cartons, missing quantity, or product defects, fixing the issue later becomes harder.

Use this checklist before inspection starts.

Confirm the timing

Inspection should happen when there is enough finished product to check. If it happens too early, the result may not represent the final goods. If it happens too late, there may be no time to correct problems.

Ask whether production is finished, whether goods are packed, whether the packing list is ready, and whether inspection can happen before balance payment or before goods leave the factory.

Prepare the product reference

The inspection team needs a clear reference. Send product photos, drawings, approved sample photos, material requirements, size details, color reference, logo position, packaging instructions, order quantity, and any known problem points.

Without a clear reference, inspection becomes a general look-over. That is weaker than a defined check.

Check product appearance

Appearance checks depend on the product, but common issues include scratches, stains, dents, cracks, rough edges, poor printing, color difference, missing accessories, loose parts, or bad finishing.

For industrial products, the visual check may not be enough. Drawings, measurements, fit, and material confirmation may matter more.

Check basic function where possible

If the product has a function, define a simple function check before inspection.

This may include opening, closing, fitting, connecting, moving, measuring, assembling, or checking whether the product matches the intended use. The supplier and inspection team should know what matters before inspection day.

Check quantity

Quantity issues are common and annoying. Check total quantity, carton quantity, units per carton, mixed SKUs, color breakdown, short quantity, extra quantity, and whether the packing list matches the goods.

If several suppliers are involved, quantity control becomes even more important before warehouse consolidation or loading.

Check packaging

Packaging should protect the goods through warehouse handling, loading, sea freight or air freight, and destination delivery.

Review inner packing, outer carton strength, protective material, carton condition, labels, shipping marks, barcodes, retail packaging if any, and export packing suitability.

A product can pass a product check and still fail in real shipping because the packing is weak.

Check labels and shipping marks

Wrong labels can create trouble in the warehouse, at customs, or at destination receiving.

Check product labels, carton labels, SKU labels, shipping marks, handling marks, warning labels, logo placement, and language requirements if any.

Connect inspection to shipment readiness

Before goods move, confirm whether the supplier can provide carton dimensions, gross weight, net weight, packing list, commercial invoice draft, product photos, and loading information.

If goods need to go to a warehouse, the warehouse should know what is arriving and when.

Decide what happens if problems are found

Inspection is only useful if the buyer knows how to respond.

If problems appear, options may include correction, replacement, repacking, reinspection, shipment delay, or further negotiation with the supplier. Decide based on the type and seriousness of the issue.
