How to Compare Chinese Supplier Quotations Beyond Price
A cheaper quotation can be useful. It can also be a trap made of missing details.
When two Chinese suppliers quote the same product, the prices may look easy to compare. But one quote may include stronger packaging, one may exclude local delivery, one may use a different material, and one may require a much higher MOQ. On paper, the cheaper one wins. In production, it may not.
Here is how to compare quotations before choosing a supplier.
Start with the product, not the price
First check whether every supplier is quoting the same product.
Compare the model, material, size, color, finish, thickness, weight, packaging, accessories, logo, quantity, and technical requirements. If there are drawings, make sure each supplier has quoted against the same version.
This is especially important for industrial parts, machinery components, packaging, building materials, and custom products. A small specification difference can change the real cost.
Check the MOQ
A low unit price is not useful if the MOQ is far above your buying plan.
Compare the MOQ for the standard product, custom version, packaging, color, logo, and mixed SKUs. Ask whether there are price breaks for different quantities. Some suppliers can make samples or small trial orders. Others cannot.
The best quotation is not always the lowest. It is the one that fits your quantity, product stage, and risk level.
Ask what the price includes
Quotation scope is where many buyers get caught.
Ask whether the price includes packaging, labels, sample cost, tooling cost, inner boxes, export cartons, local delivery, inspection preparation, loading support, or documents.
Then ask what is excluded. It feels repetitive, but it saves time. Missing costs often appear after the buyer has already spent days negotiating around the wrong price.
Read the lead time carefully
A supplier may say "20 days," but 20 days from when?
Check whether the lead time starts after deposit payment, sample approval, drawing confirmation, material arrival, or packaging confirmation. Also ask whether the lead time includes packaging and warehouse delivery.
For urgent orders, unclear lead time is almost as risky as high price.
Compare payment terms
Payment terms affect risk. Check deposit percentage, balance timing, sample fee, tooling fee, and whether inspection can happen before balance payment.
If a supplier asks for balance before any inspection or visible production confirmation, ask for a clear process. The buyer should know what can be checked before the final payment stage.
Connect samples to bulk production
A quotation should make clear whether the sample matches the bulk goods.
Ask whether the sample uses the same material, finish, packaging, and production method. If the sample is from stock, confirm what will change in bulk production.
Sample approval should not float separately from the quotation. The two should match.
Check inspection and shipment conditions
Before choosing the supplier, ask whether pre-shipment inspection is allowed and where it can happen. Also ask whether goods can be delivered to a warehouse if consolidation, repacking, or loading preparation is needed.
A supplier that is easy to work with before shipment is usually easier to manage when pressure rises.
